The Solution
Vonazon started by reverse-engineering the operating process before configuring HubSpot. The team traced how customer conversations, pet records, appointments, statuses, and cancellations were represented across Zendesk and ezyVet. That discovery separated data that could change a marketing decision from fields that would only add noise, and it established a clear rule: validate the data model before automating against it.
That decision shaped the architecture. Vonazon mapped ezyVet customers to HubSpot Contacts, retained the existing approach of representing pets as associated Company records, and used a custom Appointment object for individual appointments. Associations connected each appointment to the correct customer and pet, preserving the one-to-many history so it could later support segmentation and reporting rather than sitting inert in the system.
The same judgment showed up in how Vonazon treated the raw ezyVet data. Once the relationships were sound, the team made the data usable rather than simply complete. When appointment records did not reliably distinguish scheduled, completed, canceled, and other states, the team returned to ezyVet with Dr. Kelly’s to identify the correct operational fields rather than automate around an incomplete interpretation. Numerical cancellation values, which arrived as IDs with no meaning on their own, were translated into readable HubSpot labels so financial cancellations, no-shows, and other scenarios could drive different treatment.
Only after those values were mapped did Vonazon validate campaign logic. Dr. Kelly’s checked real HubSpot records against ezyVet, including financial cancellations and no-shows, to confirm that the right customers were being identified. The team then examined suppression logic for future appointments so a customer who had already rescheduled would not receive irrelevant cancellation outreach.

That same discipline shaped enablement. Rather than train the team on HubSpot in the abstract, Vonazon tied administration, navigation, data management, automation, and reporting instruction to the specific customer and appointment scenarios the integration now handled, so training doubled as a walkthrough of the system the team would actually run.
